Signet Maritime Corporation is a diverse international marine transportation and logistics services company. Since 1976, Signet has specialized in cargo handling, towing and tugboat services, ship management and vessel design, with concentration in the Americas, Africa and the Middle East. Signet is growing at a rapid pace and continues to expand its operations both domestically and globally. Our company has an immediate opening for an Administrative Assistant with the ability to manage multiple projects in a fast paced, priority changing environment. We will provide training toward understanding the many facets of our contributions to the marine industry. Signet's employees are our greatest asset and we are seeking a talented, motivated, self-starter to support our expanding operations.

Duties and Responsibilities

  1. Provide high level administrative support to the Ingleside Operation;
  2. Efficiently assist with crew scheduling while paying strict attention to detail;
  3. Ability to answer multiple phone lines in a professional and courteous manner;
  4. Provide exceptional customer service to domestic and international customers & crew members;
  5. Process payables in compliance with company policy;
  6. Reconcile company credit card statements and ensure accurate and timely entry;
  7. Prepare monthly account accruals;
  8. Create, prepare and develop presentations when needed;
  9. Prepare professional correspondence and compile reports;
  10. Create and maintain accurate databases, contact records, and customer information;
  11. Maintain well organized filing system;
  12. Prepare and/or assist with travel arrangements;
  13. Calendar management skills, including the coordination of executive meetings and events;
  14. Order and maintain all Ingleside office supplies and inventory.
  15. Assist additional Administrative personnel in the Jacksonville, Pascagoula and Port Fourchon Offshore Towing Division with special projects or other assigned responsibilities;
  16. Work independently and take initiative to see tasks through to completion with minimal supervision.

Experience and Qualifications

  1. Bachelor's degree from a highly accredited university;
    • Minimum GPA of 3.0;
  2. At least 2 years' experience performing administrative functions in a fast paced office environment.
  3. Accounts payable experience preferred;
  4. Background in the maritime industry is preferred.
